How to Notify Users of New Content Added to your News Catalog

When you put the effort to regularly create fresh content to add to your intranet news section, we are pretty sure you don’t want anyone missing out the fabulous work you have done.  

Solution Overview 

Using BindTuning News to display your articles, you can setup notifications to be sent, by email or through Microsoft Teams. You can either create your content directly from the BindTuning web part or connect the web part to the out of the box news Either way you can create a Power Automate Flow to send an email or a message in teams every time you add new content.  

Implementation

  • Option 1 - Setup notifications for news content created on BindTuning News
  • Option 2 - Setup notifications for news content created with Out of the Box News

See below step by step instructions to implement each of these scenarios.

Option 1 - Setup notifications for news content created on BindTuning News
If you create news content directly from BindTuning News, any content you create will be stored in a SharePoint list which you will find in the web part settings panel, under “List Settings » Manage News”. Once you have that list, open, open Power Automate and: 

    • click “Create” to start creating a new Flow 
    • choose “Start from Blank » Automated cloud flow” 
    • choose “When an item is created” as the first trigger 
    • choose the site collection where you are creating your news from and the list that you createdprint_article_news.png
    • click on “+ New step” and choose the operation “Get item”  
    • map the fields pointing to the same site collection and list (check image below).print_article_news_1.png 
    • add a new step to your flow, clicking “New Step” » “Send an email (V2)”  
    • map the field “To” with the dynamic content “TargetUsers Email”  
      !Note: the “Apply to each” action, will automatically appear when you fill the field “To”.

Option 2 - Setup notifications for news content created with Out of the Box News
If you create news through the out of the box interface and use BindTuning News web part to display it, each news piece will be a page under Site Pages. This means you can still setup notifications to be sent, using slightly different configurations.
After connecting BindTuning News web part to out of the box news, you can see how to do it here, open Power Automate and: 

      • click “Create” to start creating a new Flow 
      • choose “Start from Blank » Automated cloud flow” 
      • set  “When a file is created or modified (properties only)” as the trigger 
      • map the fields to your site collection and to the “Site Pages” library. Note that, if you search for “Site Pages” that the value will not appear in the dropdown, selectEnter custom value” and type “Site Pages”  print_article_news_3.png
      • add a new step and choose “Initialize variable”.  
      • give it the name “Email Adress”  
      • Set “Type to “String”.  
      • Under “Value” type the email addresses to whom you want to send notifications to. (see image below) print_article_news_4.png
      • Add “Send an email (V2)” as a New Step 
      • Customize your email:. 
        • Map the “To” field with the variable that you just created, adding the name you have given it under “Initialize variable” (in this example, ”Email address”) 
        • Map “Subject” to the title of the news, by using the dynamic content you have available.  
        • customize the body of the email as you wish, leveraging as much dynamic content as possible, to ensure the content in the email is appealing – see example on the image below. print_article_news_5.png

If you don’t want anyone missing out new content added to your intranet, start leveraging Power Automate in addition to BindTuning News to timely notify users of fresh content added to your intranet.
